Privacy Policy

Fortuna is the financial automation arm of [Agentic Business Solutions legal entity name, e.g. Agentic Business Solutions LLC] ("Fortuna," "we," "us"). This policy explains what we collect when you visit this website, book a call with us, or become a client, and how we use and protect it.

If you are a client, your service agreement with us also governs how we handle your data. Where the two differ, the service agreement controls.

Information we collect

When you book a call

Our booking form asks for your name, work email and business name. When you choose a time, these details pass to Cal.com, the service we use for scheduling, along with anything else you enter there, such as notes or a phone number. We use this information to hold the call, prepare your savings estimate, and follow up about our services.

When you visit the website

This website does not use analytics, advertising trackers, or cookies of its own. Like any website, it relies on a few service providers that receive basic technical information, such as your IP address and browser type, when your browser loads the page:

• Cloudflare hosts and delivers the site, and keeps request logs for security and reliability.
• Google Fonts serves the typefaces the site uses.
• Cal.com loads the scheduling window. It may set its own cookies when you open it.

When you become a client

To keep your books, we process the financial information you give us or authorize us to access. This includes invoices and other documents you send us, data from your QuickBooks company when you connect it, and the answers you give to our questions about your business. We use this information only to provide our services to you.

How we protect client data

• Partitioned per client. Every record is tied to the client it belongs to, and access is scoped per client. Each QuickBooks connection is used only for the company that authorized it.
• Stored in the United States. Client data is stored on Amazon Web Services in the United States.
• Encrypted at rest. Stored documents and databases are encrypted. Our database is not reachable from the internet.
• Limited, accountable access. Only team members who need access have it. They sign in with multi-factor authentication, and every action is recorded under the person who took it.
• People release payments. Our systems never move money. Every payment is released by a person.

Artificial intelligence

We use AI models, accessed through a commercial API, to read documents and prepare entries for review. The model provider's commercial terms prohibit it from training its models on the data we send. The provider may retain that data briefly under its own policies, for example to detect abuse, and does not use it for any other purpose.

How long we keep information

• Booking details: for as long as we are discussing or providing services to you, and then deleted on request.
• Emails and documents you send us as a client: up to 12 months in their original form. Emails we reject, for example from an unrecognized sender, are kept for 30 days.
• System logs: 90 days.
• Database backups: 7 days, on a rolling basis.
• After you leave: we don't keep former clients' data, except where state or federal law requires it. Your QuickBooks company remains yours throughout and after our engagement.

Who we share information with

We do not sell your information or share it for advertising. We share it only:

• with the service providers that help us run Fortuna, such as Amazon Web Services (hosting and storage), Cloudflare (website), Cal.com (scheduling), Microsoft (email), our AI model provider, and Intuit (QuickBooks, when you connect it). Each may use it only to provide its service to us;
• when the law requires it, or to protect our rights or someone's safety; and
• with a successor organization if our business is sold or reorganized, which would remain bound by this policy.

Your choices

You can ask us to show you, correct, or delete the personal information we hold about you by emailing [privacy contact email]. Clients can disconnect QuickBooks at any time from QuickBooks or by asking us. We will respond within 30 days. We may need to keep some records where the law requires it.

Children

Our services are for businesses. We do not knowingly collect information from anyone under 16.

Changes to this policy

If we change this policy, we will post the new version here with a new effective date. If a change materially affects how we handle client data, we will tell clients directly before it takes effect.
